KWANZA FISHING EXPO – TERMS AND CONDITIONS 2025

§ 1.0 VENUE & DATE

Kwanza Fishing Expo will be held at [Venue Name], Mwanza Region, Tanzania, on [Event Dates]. The fairground covers approximately [XX,XXX m²] dedicated to fishing industry exhibitions, workshops, and networking.

§ 2.0 ADMISSION & EXHIBITOR PASSES

Each exhibitor booking a full stand receives 4 exhibitor passes with non-transferable wristbands. Half stands receive 3 passes, and quarter stands receive 2 passes. Additional exhibitor passes can be purchased on-site for TZS 30,000 each.

Public opening hours:

• Day 1: B2B only (no public)
• Days 2-4: 10:00 to 18:00 (Final day closes at 17:00)
  Exhibitors may access the fairground daily from 9:00 to 19:00.

§ 3.0 APPOINTMENT MATCHING PLATFORM

Registered exhibitors and buyers will have access to the Kwanza Fishing Expo online appointment platform from one month before the event, enabling easy scheduling of meetings.

§ 4.0 CANCELLATION & LIABILITY

The organizer reserves the right to postpone, relocate, or cancel the event due to unforeseen circumstances (natural disasters, pandemics, etc.) without liability for damages beyond refunding paid fees.

Cancellation by exhibitors:

• More than 180 days before event: 90% refund
• 179-91 days before event: 75% refund
• 90-61 days before event: 50% refund
• 60-20 days before event: 25% refund
• Less than 20 days: no refund

Late payments may result in cancellation of the booking with a 25% administration fee deducted from any refund.

§ 5.0 CLEANING & WASTE MANAGEMENT

Exhibitors are responsible for keeping their stands clean and disposing of waste in designated bins. Disposal of hazardous materials (gas cylinders, chemicals, etc.) on-site is strictly prohibited.

§ 6.0 DISPUTES & ORGANIZER AUTHORITY

All disputes will be resolved at the sole discretion of Kwanza Fishing Expo organizers. Their decisions are final and binding.

§ 7.0 PROMOTIONAL MATERIALS

Distribution of flyers or promotional materials is only allowed within exhibitor stand boundaries. Unauthorized distribution outside stands or by non-registered companies is prohibited and such materials will be removed.

§ 8.0 STAND CONDITIONS & CONDUCT

• Exhibitors must maintain a professional and friendly stand presentation.
• Consumption of alcohol on stands is limited and must not disturb others.
• Stands will be located in tents or open spaces; exhibitors must decorate and protect their stands accordingly.
• Maximum stand display height is 3 meters.
• Audio/video presentations must be kept at reasonable volume to avoid disturbing neighbors.
• Flammable or hazardous materials are not allowed on-site.

§ 9.0 HEALTH & SAFETY

First aid services will be available during event days. Exhibitors must ensure the safety of their displays and visitors to prevent accidents.

§ 10.0 FOOD & BEVERAGES

Only registered food vendors with special permission may sell food and beverages. Bringing outside food or cooking on-site is prohibited.

§ 11.0 PARKING

Guarded parking is available near the venue at the exhibitor’s own risk. The organizer is not liable for theft or damage.

§ 12.0 SALES & PRODUCTS

Exhibitors may only display and sell products registered and approved by the organizer. Food sales require special authorization.

§ 13.0 WORKSHOPS & PANEL DISCUSSIONS

Free workshops and panel discussions will be held during the expo. A schedule will be provided in advance.

§ 14.0 SET-UP & TEAR-DOWN

Set-up times will be communicated prior to the event. Early or late set-up/tear-down outside these times is prohibited and may result in exclusion from future events.

§ 15.0 SECURITY

Security will be provided on-site, but exhibitors are responsible for their own valuables. Booking private security guards is recommended.

§ 16.0 WIFI

Free WiFi will be available throughout the fairground.
